The submission system for exhibitors collects the following information for the purpose of processing exhibition arrangements.

• Email address (to send login links and codes, and a copy of the submitted content)
• Information to be displayed at the venue and on the official website, such as circle name, venue display name, description, and external links
• Submitted images
• Login and operation timestamps, and IP addresses (to prevent misuse and to respond to inquiries)
• Records of consent to display (date and time of consent, IP address, and version of the consent statement)

7. Retention Period

Submitted images and entered content, including originals and revision history, are retained without a fixed time limit. This is in order to keep a record of the event, to provide information about future events, and to verify rights-related matters. Upon request by the individual concerned, we will delete such data except where retention is required by law.

8. Storage Location (Storage Outside Japan)

Submitted images and delivery files are stored on Cloudflare R2, provided by Cloudflare, Inc. The specified storage region is Asia-Pacific (APAC), and data may therefore be stored in data centers outside Japan.

9. Requests for Disclosure, Correction, or Suspension of Use

Requests for notification of the purpose of use, disclosure, correction, addition or deletion, suspension of use or erasure, and suspension of provision to third parties of retained personal data are accepted at the contact point below. We will respond in accordance with applicable law after verifying the identity of the requester.
